Approved Organisations
The New Zealand Police provides a vetting service for approved organisations only. To become approved to use the vetting service, organisations will have demonstrated that the vetting is for individuals who are responsible for providing care to children, older people and more vulnerable members of society. Vetting is subject to the Privacy Act 1993 and the Criminal Records (Clean Slate) Act 2004.
Information for approved organisations
Organisations that request Police vetting have the following responsibilities:
- ensure the vetting application process is followed – see vetting procedures
- ensure the security of personal information provided to and received from NZ Police in accordance with the Vetting memorandum of understanding and the Privacy Act 1993.
Effective from the 1st November 2010 electronic vetting (QueryME) is the preferred medium for vetting. Dispensation for not using this service is required.
How to apply to New Zealand Police to become an approved agency
In order to be eligible for requesting the Police Vetting service organisations need to provide the following:
- The organisation’s contact details
- Organisations name
- Contact person
- Contact phone number
- Alternative phone number
- Fax number
- E-mail address
- Describe how the subject of the vetting applications will meet the criteria of being responsible for the provision of care to children, older people and more vulnerable members of society.
- Demonstration of the organisation’s service with the provision of a website, brochure, and annual report or similar

Organisations wanting to be approved as users of the Police Vetting service should apply the Police Vetting team using the secure email form.

You will be advised of the outcome of your application once this information is received. Organisations that are approved will be assigned an individual agency code, which MUST BE applied to all vetting requests and communication. Once the agency code is supplied, organisations will be able to complete the pre-requisite steps.
Organisations that do not meet the Police eligibility criteria are able go through the Ministry of Justice for criminal history checks. Consent forms are available on the Ministry of Justice website. Or you can call them on 04 9188800 for more information.
